Multiple Deposits

Ask for a deposit in several payments: default deposit rules and rounding, deposits on a quote, the Deposits section, recording payments, card links on their own dates, the balance link, and reminder tasks.

A quote can ask for its deposit in more than one payment: one when the customer accepts, another three months before the event, a last one two weeks out. Each deposit has its own amount and due date, its own card link if you use Stripe, and its own reminder task. Most quotes still take one deposit, and that works exactly as it always has.

For setting up a single deposit, recording payments and the deposit report, see Managing Deposits. For card payments, see Stripe Credit Card Payments.

Setting Your Default Deposits

If you usually ask for the same deposits, save them once. Go to Settings → Deposits and click Deposit rules.

  1. Choose Deposit.
  2. Click Add deposit. Choose the Amount: a percentage of the total, a dollar amount, or Remaining balance. Then choose when it’s Due: On acceptance, or Before the event (a number of days, weeks or months). Click Done.
  3. Add the next deposit the same way. A remaining balance must be the last deposit, and you can only have one.
  4. Under Rounding, choose Don’t round, Nearest, Round up or Round down. Rounding only applies to percentage deposits, and rounds them to a whole dollar. Dollar amounts stay exactly as you typed them, and a remaining balance is never rounded.
  5. Click Save rules.

Your default deposits are a starting point, not a setting. A new quote starts with no deposit until you add one, and changing your rules never changes a quote you’ve already made.

Deposit rules are due on acceptance or before the event, never on a date, because each quote has its own event date. To ask for a deposit on a particular date, set it on the quote itself.

Adding Deposits to a Quote

Deposits are set on the first page of the quote builder, in the Deposit requirement box.

  • Choose Deposit, then click Use default deposits to fill in your rules, or Add deposit to add one at a time.
  • Each deposit is one line: the amount, when it’s due, and what it works out to. A deposit due before the event shows the date it falls on, worked out from the event date, such as 3 months before the event (26 Aug 2026). Change the event date and it updates.
  • Click Edit on a line to change it, or Remove in the editor to take it off.
  • The line under the deposits shows the rounding, such as “% deposits rounded up to whole $”. Click Change to round this quote differently.
  • If you’ve changed the deposits and click Use default deposits again, Puree asks before replacing them. Deposits that are already paid stay as they are.

The deposits are saved when you save the quote on the items page.

Here’s a wedding quote for $8,469.00 with rounding set to Round up:

  • 20% on acceptance: $1,694.00
  • 30% 3 months before the event: $2,541.00
  • The balance, $4,234.00, is everything left.

If your percentages add up to exactly 100%, there’s no balance: the last unpaid deposit takes whatever is left, so while a deposit is unpaid, the deposits always add up to the total to the cent.

The Remaining Balance

To ask for everything that’s left as a deposit, with its own due date, choose Remaining balance as the last deposit’s amount. It has no figure of its own: it’s the quote total less the other deposits. In the wedding quote above, a remaining balance 2 weeks before the event would be $4,234.00.

  • It must be the last deposit, and a quote can only have one. If you add a deposit while the last one is the remaining balance, the new one goes in before it.
  • A percentage is always of the whole total, not of what’s left. On a $10,000 quote, $1,000 on acceptance, then 50% a month before the event, then the remaining balance 5 days before the event, come to $1,000, $5,000 and $4,000.
  • Like a percentage, it follows the quote total until it’s paid, then it stays as it was. It’s never rounded, and it’s never less than $0.
  • Use default deposits copies a remaining balance from your rules onto the quote, where it follows that quote’s total.

When the quote changes. A percentage deposit that isn’t paid yet follows the quote total, before or after the customer accepts. A paid deposit never changes: it shows Paid, and it can’t be edited, removed or moved. To change a paid deposit, delete its payment first.

What the Customer Sees

A quote with one deposit due on acceptance reads the same as before: “On acceptance of this quote, an initial deposit of $X is required.”

With more than one deposit, or a deposit due later, the quote, the PDF and your quote template show a short list instead: each deposit’s amount, when it’s due, and Paid once it’s paid. A remaining balance shows like any other deposit, with its amount and due date, such as “Deposit 3: $4,000.00 by 10 April 2027”.

The Deposits Section on a Quote

On the quote page, the Deposits table sits beside the totals. It has one row per deposit:

  • Deposit is the name, such as Deposit 2, with its percentage. A quote with one deposit just says Deposit.
  • Due is the date it’s due.
  • Amount is what that deposit asks for.
  • Status is one of Paid, a part payment such as $31.00 paid, Awaiting payment · 5 days, Due today, Due on acceptance or Upcoming. Nothing is awaiting payment until the customer has accepted the quote. Until then, a deposit whose date has come reads Due on acceptance.
  • Card payment (with Stripe connected) shows the card that paid it, such as Visa 4242 · 4 Dec, or where its card link is up to: Link sent 4 Dec · $1,694.00, Link goes out 26 Aug, Link being sent or Link failed to send.

The Deposits table on the quote page, with a paid deposit, a deposit with a link sent and an upcoming deposit

Under the table, Payments received lists every payment and refund on its own line. A card payment opens its details and refunds. A payment you recorded by hand has a bin to delete it. A payment marked Paid in Xero (from a deposit invoice) has no bin: change it in Xero.

Money paid beyond the deposits counts towards the balance, and shows in a Paid towards the balance row. Balance owing in the totals always shows what’s left on the whole quote.

The bar at the bottom shows your card payments, such as “Card payments on · next link goes out 23 Jul”, with the buttons + Record payment receipt and Request card payment, and your Xero or QuickBooks invoice if there is one. Without Stripe connected, it reads Card payments off, with a Connect Stripe button.

Each unpaid deposit has a ⋯ menu with:

  • Send payment link: send this deposit’s card link now, before its date.
  • Copy card link: while a link is live.
  • Record payment for this: record a payment for this deposit.
  • Create Xero invoice or Void Xero invoice: with Deposit invoices turned on in Xero Settings. A deposit with its own Xero invoice shows it on a line under its row, such as Xero INV-456-D2 · Awaiting payment. See Processing Deposits in Xero.

Recording a Payment

Click + Record payment receipt in the bar, or Actions → Record payment receipt. Enter the amount and the date. On a quote with more than one deposit, choose what the payment is For:

  • Auto (oldest first) pays the oldest unpaid deposit first. Anything over goes to the next deposit, then the balance.
  • A particular deposit pays that one first. Anything over carries on as Auto.

Record payment for this in a deposit’s ⋯ menu opens the form with that deposit picked and what’s left on it filled in.

If that deposit has a card link waiting to be paid, the form offers to close it, so the customer can’t pay twice: “This payment covers it. Close the card link so the client can’t pay twice.”

Record payment receipt with Deposit 2 picked under For

Deleting a payment puts the deposit back to unpaid, or part paid.

Card Payments with Stripe

  • Each deposit gets its own card link, sent on its own date. This happens even if an earlier deposit isn’t paid yet, so two deposit links can be live at once. Each one asks for what’s left of its own deposit, and never more than the customer owes.
  • A payment through a deposit’s link pays that deposit. If the customer pays Deposit 2 before Deposit 1, Deposit 2 shows Paid and Deposit 1 is still due.
  • To send one early, use Send payment link in the deposit’s ⋯ menu. Once a deposit has a live link, the menu says so instead: “A link is already live ($1,694.00)”.
  • When the quote changes, open links update to the new amounts and keep the same address.

Deposit Links and the Balance Link

Only one kind of card link is live at a time, so the customer can’t pay the deposits and the full balance by mistake.

  • Sending a full balance link closes any open deposit links. You send it from Request card payment with Balance chosen, or it goes out on its own schedule. If a deposit link’s date comes while the balance link is live, it waits, and goes out once the balance link is closed, expired or paid.
  • Sending a deposit link yourself closes the balance link. The last link you send wins.
  • A quote set to send both on acceptance sends the deposit link, then the balance link, which closes the deposit link straight away. The customer can then pay the whole balance from that link.
  • If the customer is part way through paying a deposit link when you send the balance link, their payment still goes through and counts towards that deposit. The balance link drops to what’s left.

If Stripe can’t be reached to close the other link, Puree doesn’t send the new one. You’ll see “Couldn’t close the other card link, so no new one was sent. Please try again.” A scheduled link tries again by itself on the next run.

A closed or cancelled link never takes a payment. If the customer opens one, they see “This payment link is no longer active” with your email and phone number.

The Deposits Page

Settings → Deposits lists one row per quote, by event date: Order date, Customer name, Tags, Quote number, Deposit required, Date deposit paid, Amount received and Balance owing.

  • A quote with several deposits is still one row. Deposit required is all its deposits added together, with “62.5% of total” under it when every deposit is a percentage. Every recorded deposit payment is listed, with their total, and Balance owing is the quote total less those payments.
  • When one of a quote’s deposits is past its date and not fully paid, and the quote is accepted, the row says Awaiting payment · 5 days in amber, under Deposit required.
  • A quote with payments but no deposit shows “-“ for Deposit required.

The tabs:

  • Upcoming: quotes with an event today or later.
  • Previous: quotes whose event has passed.
  • Deposits outstanding: quotes with an event today or later that have been paid less than their deposits, whether the deposits are due yet or not. Turn on Show pending quotes to include quotes not yet accepted, each marked Pending.

The header shows Total held: the money received on the quotes matching your dates, search, tags and status filters, including quotes Deposits outstanding doesn’t list.

Download PDF and Download CSV give one row per quote, with the page’s filters. The CSV’s columns are Order date, Customer, Tags, Order #, Deposit Type, Deposit Required, Date Paid, Amount Received, Balance Owing and Method (Stripe, Manual or Mixed). With Show pending quotes on, the exports say “Including pending quotes”.

Reminder Tasks

To get a reminder for each deposit, open Settings → Task management, tick Create a reminder task for each deposit on an accepted quote, and set Remind [7] days before each deposit is due.

Each unpaid deposit then has its own task, such as “Send deposit 2 of 3 invoice: $1,951.32 due 26 Aug 2026”, with “Reminder 19 Aug 2026 · Added automatically” under it. A quote with one deposit reads “Send deposit invoice: …”. The amount is what’s left to pay on that deposit, so a part payment lowers it and a full payment clears the task. See Task Management.

The Developer API and AI Connections

The developer API reads and writes deposits:

  • GET /orders/:id has a deposit_schedule: each deposit’s amount, when it’s due, what’s still due, its status, and its live Xero invoice (xero_invoice, its number and status, or null). A deposit with a live Xero invoice can’t be changed, moved or removed: void the invoice in Puree first.
  • Creating or changing a quote takes payment_terms.deposit_schedule. Send the whole list. Paid deposits can’t be changed or moved. A remaining balance is "remaining_balance": true in place of percent or amount_in_cents, and only the last deposit can have it.
  • POST /orders/:id/deposits records a payment. Add an instalment_id to pay a particular deposit; leave it out for Auto.

See The Developer API.

An AI connection can do the same. Ask it to give a quote several deposits, end with the remaining balance, use your default deposits, change one, or record a payment for a particular deposit (“record $2,541 for Deposit 2”). It shows you each change and waits for your yes before saving. See Connecting with an AI Agent.
