Show a clear “P.O.A” on a quote line instead of a price, for anything you’ll cost later.
What Is Price on Application?
Price on application (P.O.A) lets a line appear on a customer’s quote with “P.O.A” shown in place of a price. It’s for things you want the customer to see but can’t yet put a figure against: a bespoke cake, a market-priced platter, or a specialist hire you’ll confirm with a supplier. Hovering over “P.O.A” on the quote shows a “Price on application” tooltip.
Two Kinds of P.O.A Line
A P.O.A line is never charged, so it’s one of two line types:
-
Optional extra, P.O.A: something the customer can add, with the quantity you’re offering, in the quote’s Optional Extras section. When they say yes, you price it and add it to the order. See Optional Extras.
-
Info only, P.O.A: a reference line with no quantity and no charge, under its usual menu heading.
Turning It On
- On the quote’s items page, add an item, or click one already on the quote, to open the Add Item (or Edit Item) window.
- Under Line type, choose Optional extra or Info only.
- For an optional extra, enter the quantity you’re offering.
- For an optional extra, choose P.O.A beside Show price. For an info-only line, tick P.O.A.
- Click Update (or add the item), then save the items page. It shows “P.O.A” on the items page and on the customer quote.

The P.O.A choice only shows for optional extras and info-only lines. Choosing Normal clears it, since a normal line is always priced.
Pricing a P.O.A Extra Later
When the customer wants a P.O.A extra, click Add to order on its line on the items page. The line’s window opens with P.O.A off and the price field ready: enter the price, then save the items page. The line joins the total at its offered quantity. See Optional Extras.
Where “P.O.A” Appears
- The online (HTML) quote
- The PDF quote (downloaded or emailed)
- Every styled quote template, each in its own style, with the “Price on application” tooltip
A P.O.A optional extra also carries the small “Optional extra – not included in total” line under its price.

Where It Doesn’t Appear
P.O.A lines aren’t charged, so they’re left off all dockets (chef, consolidated, driver, beverage, equipment and the event brief), run sheets and reports. A P.O.A optional extra joins them once you add it to the order.
Good to know: A quote made up entirely of P.O.A lines saves. You can send a customer an all-“P.O.A” quote while you finalise costings.
P.O.A in Packages
P.O.A can also be set on a package’s fixed items:
-
All items P.O.A. Open the Edit items picker on the Fixed items card and switch on All items P.O.A in the footer. Every fixed item in that card is flagged as P.O.A, and the card shows a small P.O.A badge. Flexible choice items are always priced, so P.O.A isn’t offered for them.
-
A P.O.A optional extra. In the same picker, set a dish’s Line type to Optional extra and choose P.O.A beside its price. The Fixed items card then reads “If added: P.O.A” for it, and every quote you add the package to offers it in the Optional Extras section. See Optional Extras.
If a package is made up entirely of P.O.A fixed items (with no flexible choices), it becomes a P.O.A package, which changes how it’s priced and shown:
- Its Price per Guest is ignored: the package adds no price to the order total.
- It’s left off the Packages section of the quote (the online quote, the PDF and every styled template) rather than showing a $0.00 line. Its items still appear, each marked “P.O.A”, under their menu headers and categories.
- On the Packages list and the package’s edit screen you’ll see a P.O.A badge, and the edit screen shows a short banner explaining the pricing.
If you want the package to carry a price, make sure at least one of its items is a normal (non-P.O.A) item.
Good Uses
- Bespoke or made-to-order items you’ll price once the brief is confirmed
- Market-priced produce whose cost moves with the season
- Specialist hire or sub-contracted services you need to confirm with a supplier
- Upgrades the customer can add, with pricing on request: make these P.O.A optional extras so they sit together in the Optional Extras section
